When using global filters or when creating custom dashboards or records lists, these data definitions may come in handy. We've grouped our definitions as follows:

Hierarchy Data Fields:
Hierarchy Node: An organization’s hierarchy is a tree-like structure composed of elements referred to as nodes. The top-level hierarchy node is called the root node. Any node that has at least 1 node beneath it in the structure is referred to as a parent node. All nodes, with the exception of the root node, are referred to as child nodes because they originate from a parent node. Any nodes that have no child nodes beneath them are referred to as leaf nodes. The locations within your organization will always be leaf nodes.
The structure of each organization’s hierarchy is unique. Each platform user is assigned to a specific node(s) within the hierarchy. Each user will only see results for the locations that they are assigned to directly, or that fall beneath the hierarchy node(s) they are assigned to in the hierarchy structure.
In this example:
The root node (Demo Corp) branches to ‘Region’ nodes, and ‘Region’ nodes branch to ‘District’ nodes, then ‘District’ nodes branch to locations.
Hierarchy Node Properties:
Name: The label used for the hierarchy node
Client Code: A unique identifier for the location
Type: Location or Generic (a hierarchy building block that is NOT a location)
Parent: The node that came before this node in the hierarchy (each node, except the root node, will have a parent)
Tags: Labels assigned to the location, primarily used to indicate features (CarWash for example).
Attributes: Key/value pairs assigned to locations to identify specific information such as annual revenue (AnnualRevenue:200000 for example)
Address (if location): Street, City, Province/State, Postal Code/Zip, Phone Number
Timezone (if location): Example America/Detroit
Status (if location): Open or Closed
Date Based Data Fields:
Note: All timestamps within the Intouch platform are stored in UTC. When viewing data in Intelligence, timestamps are represented in the time zone that has been applied in your user settings. Custom records lists may have a fixed time-zone applied that IS NOT your user setting, or may be configured to be shown in the location’s timezone. |
Document Date (Records ONLY) - Document data is the primary date used for reporting on record type data in the platform. This is the official reporting date of the record.
Shop/Audit: Document date corresponds to the date the assessment was completed (the date the visit was finished where the visit occurred over multiple days)..
Check: Document date corresponds to the date the audit was SUBMITTED by the end user, based on their devices date/time settings. This can be edited on records by Admin users.
Survey: Document date corresponds to the date the response was SUBMITTED by the end user, based on their devices date/time settings. However, surveys can be configured such that the date is driven by the response to a date question. This can be edited on records by Admin users.
External Data: Document date is driven by the data field that the external program creator has selected as the document date. If the document date is not set, the date will be set to the date uploaded. This can be edited on records by Admin users.
Created Date - Created date is the primary date used for reporting on case or followup type data in the platform. The Created date is also the timestamp for when a record, case or followup was received by Intouch servers.
Case/Followup: Created Date is the timestamp of the 1st appearance of the action item by Intouch servers.
Shop/Audit: Created Date is the timestamp of the last approval by Intouch
Check: Created Date is the timestamp of the 1st appearance of the record by Intouch servers. For Intouch Check records, this timestamp would be the 1st time an audit is saved to the cloud.
Survey: Created Date corresponds to the date the response received by Intouch servers.
External Data: Created Date is updated each time a record is imported and will match the document date.
Date Received - Date Received is the date the record was last ingested/received by Intouch servers.
Shop/Audit: Date Received is updated each time a record is updated/altered and imported.
Check: Date Received corresponds to the date the audit was received by Intouch servers. For Intouch Check records, this timestamp would be the 1st time an audit is saved to the cloud.
Survey: Date Received corresponds to the date the response received by Intouch servers.
External Data: Date Received is updated each time a record is updated/altered and imported.
Submitted Date - The Submitted Date is also the timestamp for when a record, case or followup arrived in Intelligence Reporting. Submitted Date is static and cannot be updated.
Shop/Audit: Submitted Date is updated each time a record is updated/altered and imported.
Check: Date Received corresponds to the date the audit was received by Intelligence reporting.
Survey: Date Received corresponds to the date the response was received by Intelligence reporting.
External Data: Date Received is updated each time a record is updated/altered and imported.
Start Date - The date the record was initiated by the end user, based on their device's date/time settings.
Shop/Audit: The date of the first input on the end user form
Check: The date the audit was initiated (created via ‘Check Now’ or added to ‘In Progress’) by the end user, based on their device's date/time settings.
Survey: The date the respondent accessed the survey URL, based on their devices date/time settings.
External: Not applicable
Finish Date - The date the audit was submitted by the end user, based on their device's date/time settings.
Shop/Audit/Check/Survey: The date the end-user (shopper/auditor/respondent) submitted.
External: Not applicable
Record Metadata Data Fields:
Product - The source product of the record. Values are Shop, Audit, Check, Survey or External Data
Program Name - This is the title of the form used when collecting data.
Distribution Type (Survey Only) - This is the method of data collection used to collect the
response. Values are Email (Intouch Contact Center), SMS (Intouch Contact Center) or Anonymous
Duration in Seconds (Excluded for External Data)- The length of time in seconds between the Start Date and Finish Date of a record.
Cycle (Shop/Audit Only) - The defined date period the record is associated with. Example: “2021 - June”. Note: Under special conditions, records may have a document date that falls outside of the defined ‘Cycle’ the record is associated with.
Group (Shop/Audit Only) - The defined Cycle subgroup that the record is associated with.
Record Keywords (Shop/Audit/Survey Only if enabled) - Each open text response where ‘Sentiment Analysis’ has been applied will be processed and receive sentiment keywords. The record keywords combine all question keywords at the record level.
Record Sentiment Score (Shop/Audit/Survey Only if enabled) - Each open text response where ‘Sentiment Analysis’ has been applied will be processed and receive a sentiment score (-1 to +1). This is determined by the tone and language of the text analysed. The record sentiment score provides an average of all question sentiment scores on the record.
Record Sentiment Label (Shop/Audit/Survey Only if enabled) - Based on the Record Sentiment Score. If the Record Sentiment Score is less than 0, the Sentiment label will be ‘Negative’. If the Record Sentiment Score is equal to 0, the Sentiment label will be ‘Neutral’. If the Record Sentiment Score is greater than 0, the Sentiment label will be ‘Positive’.
Record Tags - Record tags are used to classify and label data for reporting purposes. As each record is received in Intelligence, the record may conditionally have Record Tags (labels) applied via rules. Record tags may also be applied to records manually.
Record ID - This is the unique identifier for the record in Intelligence reporting, the UUID (universally unique identifier).
Submission Language (Survey Only) - The language that the respondent selected when completing the survey.
Record Score Data Fields:
Scored Document (Boolean) - This identifies if a record has a score (true or false)
Score is Weighted (Survey Only) - This is ‘1’ if the record has a weighted score.
Record Score Total - The total number of points possible for the record. This is the sum of the points associated with all answered questions. Questions that have not been answered or have a response that is unscored do not count towards the record score total.
Record Score Value - The total number of points awarded for the record. This is the sum of the points associated with all of the selected responses.
Record Score Percentage - This is the Record Score Value divided by the Record Score Total, multiplied by 100. Exception: For mystery shop programs with weighted scoring, and for survey programs set to use weighted score as overall score this value will be set to the same value as Record Score Percentage (Weighted).
Record Score Percentage (Weighted) - If weighted scoring is not used for the program, this value will be equal to Record Score Percentage. If weighted scoring is applied for the program, the value of this field will be the recalculated score percentage:
Shop/Audit: The percentage scores for each section are calculated independently. Each section is assigned a weight, where the sum of all section weights must equal 100. The Record Score Percentage (Weighted) is calculated as follows:
(Section 1 % (Section 1 Weight) + ….. + Section N % (Section N Weight)) / 100
Survey: Questions within a program are tagged. The percentage scores for each tag are calculated independently. Each tag is assigned a weight, where the sum of all tag weights must equal 100. The Record Score Percentage (Weighted) is calculated as follows:
(Tag 1 % (Tag 1 Weight) + ….. + Tag N % (Tag N Weight) ) / 100
Tag Score Total (Check/Survey/External Data Only) - The total number of points possible for the tag on the record. This is the sum of the points associated with all answered questions that have the selected tag applied. Questions that have the tag applied but have not been answered or have a response that is unscored do not count towards the tag score total.
Tag Score Value (Check/Survey/External Data Only) - The total number of points awarded for the tag on the record. This is the sum of the points associated with the selected response(s) for questions that have the selected tag applied.
Tag Score Percentage (Check/Survey/External Data Only) - This is the Tag Score Value divided by the Tag Score Total, multiplied by 100 for the selected tag.
Program Score Data Fields:
Section Score Total - The total number of points possible for the section on the record. This is the sum of the points associated with all answered questions within the section selected. Questions that are in the section but have not been answered or have a response that is unscored do not count towards the section score total.
Section Score Value - The total number of points awarded for the section on the record. This is the sum of the points associated with the selected response(s) for questions within the section selected.
Section Score Percentage - This is the Section Score Value divided by the Section Score Total, multiplied by 100 for the selected section.
Question Score Total - The total number of points possible for the selected question on the record. Questions that have not been answered or have a response that is unscored will not have a question score total.
Question Score Value - The total number of points awarded for the selected question on the record. Questions that have not been answered or have a response that is unscored will not have a question score value.
Question Score Percentage - This is the Question Score Value divided by the Question Score Total, multiplied by 100 for the selected question. Questions that have not been answered or have a response that is unscored will not have a question score percentage.
Question Data Fields
Question ID - This is the unique identifier for the question in Intelligence reporting, the UUID (universally unique identifier).
Question Text - This is text configured in the form for the question label at the time the response was started.
Question Type - This is the type of question used on the form where the data for the question was collected. The possible values vary by product.
Question Response Label/Question Response - Data varies by question type
- For multiple choice, checkboxes, dropdown and matrix type questions this is text configured in the form as the response label.
- For scale, slider and rating questions, this will be the numeric response selected by the user.
- For NPS this will be the NPS label, Promoter, Passive or Detractor
- For Ranking this will be the responses as ordered by the respondent
- For simple check, this will be either ok or not-ok based on the respondent’s selection.
- For calendar, time, text input, text area and number type questions the response label will include the data entered by the respondent.
Question Response Values - Data varies by product and question type
Survey (NPS Only): this is the numeric value selected by the respondent
External Data: This is text configured in the form for the response value at the time the response was submitted.
Question Sentiment Label (Shop/Audit/Survey Only if enabled) - The classification of the respondent’s tone: Negative, Neutral, or Positive.
Question Sentiment Score (Shop/Audit/Survey Only if enabled) - The numeric representation of the degree to which a respondent’s tone is Negative (<1), Neutral (0), or Positive (>1). Values range from -1, which is extremely negative, to +1, which is extremely positive.
Question Keywords (Shop/Audit/Survey Only if enabled) - The extracted words taken from the respondents input assumed to be the subject of the respondents sentiment (a person, thing or situation).
Question Comment (Shop/Audit/Check where present) - Includes the comment data as entered by the respondent.
Question Tag Value(s) (Check/Survey/External only) - Includes the tags associated with the question which identifies the Tag Scores that the question is used in the calculation of.
