Edit an Individual Record

Only Admin users will see the edit record feature on the Individual Record Reports.

About record editing:

There may be occasions where you would like to modify the scoring or other elements of a submitted Check, Survey, or External data record. For example, where:

• An inappropriate selection was made in error.
• Conditions beyond any control prevented the subject under evaluation from obtaining all possible points.
• There are a few typos in an open text comment that should be corrected.

To help address these scenarios, there are several components of the individual records that can be edited, these include: 

• The location or hierarchy node the record is associated with.
• Record tags that have been added to the record via Rules or manually.
• The overall points awarded for the record (the overall score percentage will be recalculated based on the updated points value).
• The overall points awarded for each section (the section score percentage will be recalculated based on the updated points value).
• The points awarded for each question (the question score percentage will be recalculated based on the updated points value).
• End-user provided open text question responses (this is limited to input type and text area questions and does not include comments on questions).

A few things to note: 

• Each scoring element must be modified independently. For example, a question score change will not automatically change the section score, and a section score change will not automatically change the overall record score. When modifying a question score, you will likely also want to modify the section score and the overall score for the record.
• Once modified, the changes are permanent and the original record cannot be recovered. The record must be manually adjusted back to the original values if required.
• Once all changes are made, the record must be saved. Once saved, the record will be updated and any applicable triggers based on the 'Record Updated' event will apply.

How do I edit a record?

To edit a record, navigate to Intelligence from the products menu, then:

1) Navigate to the Individual Record Report, and click on the triple-dot menu (action menu) at the top of the report.

2) Click on 'Edit Record'.

3) Select the pencil icon next to the element you would like to modify.

4) Enter the new value for the location, the score or the open text response on the intended question, section, or record result. 

5) When you have finished editing the record, click on the 'Save' button within the blue update mode banner at the top of the record.

6) You're done!
